Capture and follow up

Missed-call text-back that reaches callers before they call someone else.

When you can’t pick up, the caller gets a text within seconds. They can explain what they need and book a time, and it is all logged for you.

A good fit for

  • Trades and field teams on site all day
  • Clinics and practices with a busy front desk
  • Any business whose phone rings after hours

How it works

What happens after a call goes unanswered

The caller gets a response right away, and what happens next depends on how they reply. Each route ends with a record your team can act on.

Automated Your team

  1. A call goes unanswered

Before and after

What changes for your business

You can't pick up every call while you're on a job, with a client or closed for the day. Many callers won't leave a voicemail. They just try the next number.

  • Today: Callers hang up and try the next business

With automation: Callers get a reply while they still need you

  • Today: You return calls at the end of the day, unsure who needs what

With automation: You see what each caller needs before you call back

  • Today: Missed calls leave no record

With automation: Every missed call has an owner and an outcome

What we set up

Missed calls become text conversations and booked appointments instead of lost jobs.

You stay in control

You choose the wording, business hours and which issues come straight to a person. Texts go only to people who called you, and anyone can opt out.

  • An automatic text to every missed caller within seconds
  • A booking link or two-way text conversation to set the appointment
  • Calendar sync and reminders to reduce no-shows
  • Every call and conversation logged against the contact in your CRM

What it connects to

  • Your business phone or a new tracking number
  • Google Calendar or Outlook
  • Booking tools
  • Your CRM

Product names only describe common setups. A4 Automations isn’t affiliated with them.

A walkthrough

Example: a plumber misses a call while under a sink

A hypothetical example of how this can work, not a client story.

  1. 01The caller gets a text saying sorry and asking what they need.
  2. 02They reply that a water heater is leaking and ask about today.
  3. 03The text offers two open times from the calendar, and they choose one.
  4. 04The job goes on the calendar, with a reminder set and the details in the CRM.

Missed call

Hi, sorry we missed your call. Reply here with what you need and we’ll get you booked in.

Hi, our water heater is leaking. Can someone come today?

Sorry to hear that. We have two times open today. Which works for you?

The first one, please.

You’re booked. We’ll text a reminder before we arrive.

Example message flow. We write the wording with you.

FAQ

Questions about missed-call text-back and appointment booking

Do I need a new phone number?

Not always. Many business phone systems can trigger a text from your existing number, while some setups need call forwarding or a dedicated number. We check yours first.

Is it allowed to text people who called me?

A direct reply to someone who contacted you is treated differently from marketing, but rules vary by country. We keep messages relevant, include opt-outs and handle required sender registration with you.

What if the caller is an existing customer?

The system can look up the number in your CRM and use a different message or send the details directly to the right person.
