Custom builds
An internal knowledge assistant so your team stops asking the same questions.
Staff can ask questions in plain English and get answers from your SOPs, policies and documents, along with a link to the source so they can check it.
A good fit for
- Growing teams onboarding new staff
- Businesses with procedures spread across many files
- Experienced staff who get interrupted with repeat questions
How it works
How the assistant answers and gets better
Each question follows the same checks. When the documents don’t have the answer, it says so and helps you fill the gap.
Automated Your team
1. Your documents are connected
SOPs, policies and guides
2. A team member asks
In Slack, Teams or a web page
3. Permissions are checked
They see only what they’re allowed to
4. The right passages are found
From the current documents
5. It answers with a source
Linked so staff can verify it
6. Gaps get reported
So an owner can update the documents
Then back to step 1.
It hands off to a person when
- The documents don’t contain a reliable answer
- The topic is restricted, such as HR or legal
- A person needs to make a judgment call
Before and after
What changes for your business
Procedures and policies end up scattered across drives, PDFs and people's heads. Staff ask the same questions again, or guess when they can't find the answer.

Your team gets quick answers from your own documents, without digging through folders or interrupting a colleague.
You stay in control
You decide which documents it can use and who can see them. Where available, we configure your AI provider so your data isn’t used to train its models.

- Access controls, so people only see what they're allowed to see
What it connects to

Product names only describe common setups. A4 Automations isn’t affiliated with them.
A walkthrough
Example: a new hire needs a refund procedure
A hypothetical example of how this can work, not a client story.
- 01They ask in Teams how to handle a refund for an order over the usual limit.
- 02The assistant finds the current procedure and summarizes the steps.
- 03It links to the document and names who has to approve the refund.
- 04They follow it without having to interrupt the team lead.
FAQ
Questions about internal knowledge assistant
Could staff see documents they shouldn’t?
We design around access permissions, so the assistant uses only what a person or group is allowed to see. We test this before launch.
What if the assistant gets something wrong?
Answers link to the source so staff can check them. If there’s no reliable source, it says so rather than guessing. We also review questions and feedback after launch.
How much documentation do we need?
You can start with a small set of important documents. We’ll help identify what’s missing, outdated or conflicting.
